How we work

How we actually build this.

Most software companies will not tell you what is under the hood. Fair enough. Most of it is a wrapper around someone else's API and a support queue in another time zone.

This page is the opposite. What the machine does, where AI gets a job and where it does not, what happens in the first 48 hours after you sign up, and what we do when your workflow does not fit the template.

Read it before you buy. That is the point of it.

Mechanical first

Mechanical first. AI where it actually helps.

Most of the kit is plain machinery: rules that run the same way every time. We proved each piece by hand before we let the machine run it. AI gets a job only where judgment helps, and it never gets to improvise in front of your customer.

1

The machine does the repetitive work

Lead routing, follow-up timing, pricebook math. Deterministic, tested, boring on purpose. A lead that comes in at 9pm gets the same handling as one at 9am, because it is a rule, not a judgment call.

2

AI gets the narrow jobs

Two places, mainly. Telling a $15,000 system replacement from a $150 tune-up so your queue sorts right. And matching what a homeowner typed into the box to the right line in your pricebook. Both get checked against your rules before anything moves.

3

The homeowner never meets a bot

No chat bubble. No assistant with a name. Your customer sees a clean quote with real prices and a booked time window. Whatever ran underneath that is our problem, not theirs.

On the AI question, straight:

Contractors are right to be wary. Most of what gets sold as AI for the trades is a chatbot that annoys homeowners and a lead score nobody can explain. We do not put AI anywhere a wrong answer reaches your customer unreviewed. Where it scores or matches, you can see why it decided what it did, and you can override it. If a piece of this ever works worse than the rule it replaced, we pull it back out.

White glove setup

What happens after you sign up.

You do not build anything. You do not install anything. Here is the actual sequence.

Day one

Kickoff call

One conversation about your services, your team, your service area, and what you already run. Not a demo and not a sales pitch. We are collecting what we need to configure the thing.

We do it

We load your pricebook

Send us what you have: a spreadsheet, a PDF, an export from your FSM, or a photo of the binder. We build it into tiered Good/Better/Best options and keep it current as your prices move. No spreadsheet homework for you.

We do it

We install the widget

On your site, styled to your brand: your logo, your colors, your fonts. It should look like your web guy built it. If you have a web guy, we work with him. If you do not, you do not need one.

We do it

We connect your FSM

ServiceTitan, Jobber, Housecall Pro. Booked jobs and quote data push straight across, so nobody retypes anything. Notifications route to the CSRs you name, not to a general inbox.

Live

Leads start flowing

Live in as little as 48 hours. Your team gets notified, booked jobs land on your dispatch board, and you did not read a single tutorial.

What it does not touch

It feeds your dispatch board. It does not replace it. Your schedulers keep the screen they know, your techs keep the app they use, and your existing jobs are not migrated anywhere. If you turned the kit off tomorrow, your FSM would still have every job it already had. That is the blast radius: new leads in, nothing else moved.

Custom work

Weird workflow? Bring it.

Every shop that has been running more than a few years has something odd in it. A membership plan with rules nobody wrote down. Two brands sharing one call center. A commercial side that quotes nothing like the residential side. A spreadsheet somebody's wife maintains that the whole business quietly depends on.

Template software makes you drop that stuff or work around it. We build to the software you already run and the process you already have.

This is not a package you buy. It is a capability you get access to.

Custom integrations

If it has an API, we can usually talk to it. Your FSM, your accounting, your call tracking, your review platform. If it does not have an API, we will tell you that instead of pretending.

Workflow automation

The handoffs that currently happen because someone remembers to do them. Routing by trade or territory, follow-up that stops when a job books, alerts when a big quote goes cold.

How we scope it

You describe the process. We tell you what is straightforward, what is awkward, and what we would not do. Flat written quote before anyone starts. Founding Whole Kit customers get the first one built free.

Talk to the people who build it.

Not a sales team reading from a deck. Bring the awkward parts of your process and we will tell you straight whether this fits.
